1. Introduction

These terms and conditions (“Terms”) govern your use of the extnd website at oak-stone.uk (“the Site”) and any design services provided by extnd Ltd (“extnd”, “we”, “us”, “our”). By accessing the Site or engaging our services, you agree to be bound by these Terms. If you do not agree, please do not use the Site.

2. Our Services

extnd provides the following professional design services:

  • Architectural design — home extensions, loft conversions, new builds, planning applications and technical drawings.
  • Interior design — concept development, space planning, material selection and styling across residential and commercial projects.
  • Structural engineering — structural calculations, beam designs and engineering drawings for residential and commercial schemes.
  • Mechanical engineering — HVAC design, energy assessments and mechanical systems specification.

The specific scope, deliverables and fees for any project will be set out in a separate written proposal or letter of engagement, which shall take precedence over these general Terms where there is any conflict.

3. Instant Quotes & Estimates

The instant design quotes provided through our website are indicative estimates based on typical project parameters and market rates. They are not binding quotations and do not constitute an offer or contract. Final fees will be confirmed in a formal proposal following an initial consultation and assessment of your specific project requirements. Actual costs may vary depending on project complexity, site conditions and scope changes.

4. Intellectual Property

All content on the Site — including text, images, 3D models, project photographs, logos, graphics and design — is the intellectual property of extnd Ltd or its licensors and is protected by copyright and other intellectual property laws. You may not reproduce, distribute or use any content from this Site without our prior written consent.

Design work produced for your project (drawings, specifications, 3D models) remains the intellectual property of extnd until full payment has been received. Upon full payment, you are granted a licence to use the designs for the agreed project only. Designs may not be reused, modified or shared with third parties for other projects without our written permission.

5. Client Responsibilities

When engaging our services, you agree to:

  • Provide accurate and complete information about your property and project requirements.
  • Grant reasonable access to the property for surveys, measurements and inspections as required.
  • Respond to requests for approvals and feedback within reasonable timeframes to avoid project delays.
  • Obtain any necessary permissions from landlords, freeholders or other parties where applicable.
  • Make payments in accordance with the agreed payment schedule.

6. Payment Terms

Payment terms will be specified in your project proposal. Unless otherwise agreed, invoices are payable within 14 days of issue. We reserve the right to charge interest on overdue payments at 4% above the Bank of England base rate, in accordance with the Late Payment of Commercial Debts (Interest) Act 1998. Work may be paused on any project where payments are overdue.

7. Planning Applications

Where we submit planning applications on your behalf, we will use reasonable professional skill and care in preparing and submitting the application. However, we cannot guarantee that planning permission will be granted, as this is at the discretion of the local planning authority. Any fees for planning application preparation are payable regardless of the outcome of the application.

8. Limitation of Liability

To the fullest extent permitted by law:

  • Our total liability for any claim arising from our services shall not exceed the fees paid by you for the relevant project.
  • We shall not be liable for any indirect, consequential or special losses, including loss of profit, loss of use of property, or costs of alternative accommodation.
  • We are not responsible for defects in construction work carried out by third-party contractors, even where we have provided the design.
  • Information on the Site (including 3D models and project visualisations) is provided for general inspiration and does not constitute professional advice for your specific circumstances.

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or any other liability that cannot be excluded by law.

9. Cancellation

Either party may terminate a project engagement by giving 14 days' written notice. In the event of cancellation, you will be liable for fees for all work completed up to the date of termination, plus any committed third-party costs (e.g. survey fees, application fees). Any deposits paid are non-refundable unless otherwise stated in your project proposal.

10. Use of the Website

When using the Site, you agree not to:

  • Use the Site for any unlawful purpose or in breach of any applicable laws.
  • Submit false or misleading information through any forms on the Site.
  • Attempt to gain unauthorised access to any part of the Site or its systems.
  • Use automated tools to scrape, copy or extract data from the Site.

11. Third-Party Links & Content

The Site may contain links to third-party websites or embed third-party content (such as 3D model viewers). We are not responsible for the content, privacy practices or availability of third-party sites. Your use of third-party services is subject to their own terms and conditions.

12. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms or your use of the Site shall be subject to the exclusive jurisdiction of the courts of England and Wales.

13. Changes to These Terms

We reserve the right to update these Terms at any time. Changes will be posted on this page with an updated revision date. Continued use of the Site after changes are posted constitutes acceptance of the revised Terms.
